How data flows between Planner, Drivers, Customers, and Supervisors

Routal is made up of four connected platforms: Planner, Drivers App, Customers portal, and Supervisors. Understanding how data moves between them helps you get the most out of the system and troubleshoot issues faster.

The end-to-end flow

  1. Planner creates a plan — an operations team member adds stops, assigns vehicles, and optimizes the route.

  2. The Planner dispatches the plan to drivers — the driver receives the route in their app via email, SMS, or a real-time push notification.

  3. Customer notifications are triggered — when the plan is dispatched or the driver starts the route, SMS or email notifications are sent to customers with their personalized tracking link.

  4. The driver executes the route — as the driver completes or cancels stops, status updates are sent back to the Planner in real time.

  5. Customers track their delivery — customers open their tracking link to see live ETA, driver position, and proof of delivery after completion.

  6. Planner and Supervisors monitor in real time — both see all stop updates, delivery events, and can check proof of delivery and diferent details.

Data sent from the driver to the Planner

  • Stop status changes (completed, canceled, in transit).

  • GPS location updates during the route.

  • Proof of delivery data: photos, signature, custom fields, timestamps.

  • Cancellation reasons and photos.

Data sent from customers to the Planner

• Location validation corrections (corrected delivery address).

• Instructions sent to the driver through the tracking page.

• Satisfaction survey responses (rating, tag, comments).

What supervisors see

Supervisors have a read-only view of all stop data as it changes. They see everything that flows from the driver back to the Planner, plus the customer survey data, filtered according to their individual permission configuration.
